SharePoint based Course Catalog for the University of Florida
In late 2010, B2B Technologies collaborated with the University of Florida to implement a Microsoft SharePoint based Course Catalog solution.  The University wanted to streamline the process for maintaining and updating course catalog content while providing an enhanced user experience for students and faculty.  SharePoint's rich content management and workflow capabilities provided the perfect platform.
 
Recognizing that the solution might be relevant for other institutions, Microsoft hosted a webcast last week showcasing the UF Course Catalog system.  During the webcast, we sat down with Vicki Clifford, the project manager at the University of Florida, to discuss development of the course catalog and demonstrate the complete solution which is currently in use for the second year in a row.  The webcast drew over 80 attendees from colleges and universities around the nation.  We were thrilled by the level of interest and were grateful for the opportunity to share the great work that was accomplished by the teams at UF and B2B.  We are extremely proud of our partnership with the University of Florida and the resulting Course Catalog system.

B2B and AvePoint host MOSSmosis event at Microsoft Store
This morning, B2B and AvePoint headed over to the Microsoft Store at Lenox Mall for a discussion on SharePoint Governance. We kicked off the event with breakfast and networking and then jumped right in to presentations.
 
Matt Tinkler, Co-founder and CIO at B2B discussed standards and policies, appropriate access and permissions, monitoring and automating as well as other topics of interest regarding SharePoint governance. The full presentation that Matt gave can be found here.

Matt's presentation was followed by Ryan VanOsdol, VP of Sales/Southeast, Heartland Region at Avepoint.  Ryan's discussion further explained SharePoint governance and the automation and monitoring tools AvePoint has for SharePoint.  Ryan's full presentation can be found here
 
After the presentations ended, we gave away a $100 Microsoft Store gift card and also distributed store coupons to all attendees.  The Microsoft Store was a great venue and we hope to host another event there in the future. 
Re-facing Your SharePoint Site
Roslyn Public Schools is excited to launch a new SharePoint 2010 website for parents, students and staff to share information about the district and its five schools.  Further, the website serves as a first impression for prospective parents: therefore, a crisp, attractive appearance is critical.  Previously, the look and feel of the site was not considered sufficient, so Roslyn engaged B2B Technologies to quickly improve their site to look like a professionally-designed brochure. 
 
As with every site re-design, the engagement team began with a discovery session in which B2B and Roslyn discussed the design and communication goals for the site.  The new site was created to be a go-to resource for students, families and parents; primarily giving each audience their own portal to access information about school events, class forms, etc.  B2B presented a collection of graphical design concepts to Roslyn to determine their likes and dislikes.  Based on the knowledge gathered in the discovery session, B2B produced a digital sketch of the design framework that addressed Roslyn's goals and earned positive feedback from their stakeholders.

Includes special portals designed for each audience: students, parents, staff and the community.  This allows each group to get news that is tailored just for them; whether students are looking for grades or parents are looking for forms, everything is in one easy to access site. 
  
The next step of the engagement was to create three graphical design comps representing three key pages in the SharePoint site.  Roslyn selected the district landing page, a school landing page and the parent portal landing page as candidates for the comps.  B2B also advised Roslyn on how to restructure their taxonomy so that the site would be organized consistently with the navigation presented in the design comps.
 
The final step of the engagement was to implement the design comps into SharePoint.  B2B built two custom master pages and four custom layout pages to implement the design.  Two master pages were needed to ensure that Roslyn's custom application pages would inherit the new look and feel.  The variety of layout pages gave Roslyn's Webmaster the flexibility to create content with multiple arrangement options.
 
Roslyn's stakeholders were impressed with both the quality of the redesign of their site as well as the speed in which B2B could implement it.  The result is a professionally designed SharePoint website that conveys the right image to all visitors.

Using SharePoint for Classroom Websites

SharePoint 2010 addresses many of the needs for instructional technology, and one of the most popular uses is for classroom websites.  Teachers need to connect and share information with students and parents, and with increasing emphasis on cooperative learning, students require effective tools for working together.  This article outlines a few of the ways SharePoint helps educators and students work more efficiently and enjoy more engaging learning experiences.

 

Simplifying Communication with Students and Parents

Classrooms are dynamic environments, and keeping students and parents informed is a basic but often arduous task for teachers.  SharePoint offers a number of easy and effective tools to help maintain a steady stream of important information.  Using a simple form, teachers can post a quick reminder to an Announcement List about permission slips that need signed, upcoming due dates, or even current news items relevant to recent lessons.  SharePoint Calendars help students stay on top of their work and provide parents insight into upcoming projects or exams.  And since project outlines, lesson plans, and other classroom resources can be share in Document Libraries, parents no longer need to ask what their child did in school that day; they already know!

Of course, the way people consume information and stay connected is constantly changing.  Logging onto a website may not always be convenient given the fast-paced lifestyles of today’s students and parents.  SharePoint 2010 automatically provides mobile views of the classroom site, so announcements, calendars, documents, and other content can be viewed from a smartphone or tablet. (See image to left) 

Users can even subscribe to alerts delivered as email or text messages.  For the super cyber savvy, every list in SharePoint can be consumed as an RSS feed.  This means that students can keep an always up-to-date list of assignments and due dates in a desktop gadget or on their phones.  Teachers publish information once, using a simple form, and SharePoint ensures it reaches the target audience across multiple platforms and devices:  Windows, Macs, Firefox, Safari, iPads, Android devices, and many others. Assignment Drop Boxes and Differentiated Learning

Online assignment submission is becoming standard in higher education and is a growing trend in K-12.  Students love the efficiency of online submission, and teachers appreciate that assignments can be collected without using valuable class time.  This also means teachers can grade assignments anywhere without lugging around a crate of papers.

SharePoint Document Libraries allow students to submit work using a web-browser and SharePoint’s robust but user-friendly permission and content approval settings ensure that student work is secure and remains private. 

Beyond convenience, SharePoint Document Libraries provide educators a simple way to differentiate assignments and address individual learning needs.  Turning on content approval for an assignment drop box library ensures that only the individual student and the teacher can see the student’s work.  Teachers can therefore provide modified assignments, additional resources, or custom instruction based on the student’s unique needs without compromising the student’s privacy.  Built-in Version History can illustrate progress and is useful for building a student’s confidence and offering parents insight into their child’s unique talents and needs.

Cooperative Learning

Communication and collaboration among students is a core tenant of 21st Century Learning.  Educators have embraced this approach and emphasize project based and problem based assignments to facilitate cooperative learning.  SharePoint’s powerful collaboration capabilities help students work together in efficient yet engaging and meaningful ways.    

SharePoint Discussion Boards offer a familiar forum environment which encourages deliberation among students.  Built-in Wiki sites and Blogs afford opportunities for students to share, learn from, build upon each other’s ideas, and ultimately work together to create a dynamic collection of knowledge related to class concepts.

One of the most exciting additions to SharePoint 2010 is the inclusion of Microsoft’s Office Web Apps.  These web-based companion versions of Word, PowerPoint, Excel, and OneNote are a component of SharePoint Document Libraries and allow users to view, edit, and share documents directly within the browser.  Since the Microsoft Office client applications are not required, students have the freedom to work from any internet enabled computer.

The Office Web Apps are especially valuable for group based work.  An entire class could record lab results in the same file at the same time using the Excel Web App.   Students working on a research project can capture notes in shared OneNote section even if one student is using a browser on a shared library PC while another is working at home on a netbook with the OneNote desktop client.  They would even see each other’s notes as they are captured.  Since the author and date are tracked, the teacher can view and evaluate each student’s contribution to co-authored documents.

These are just a few of the many benefits that a SharePoint based class site can provide.  Some colleges and universities are using SharePoint to offer e-portfolios for their students – allowing students to reflect on their learning experiences while building a personalized collection of their best work to share with potential employers.  School districts are using SharePoint to facilitate collaboration among teachers located at different schools to create shared learning materials.  The value of SharePoint is its flexibility to address the variety of ways people want to share information.

The holidays are quickly approaching! We thought we'd kick off our holiday season early this year by  celebrating over the weekend at Eddie's Attic.  We had a great turnout and even gave away an Xbox Kinect (Coincidentally, Eddie was the winner, but the party was not in his attic).  The combination of excellent food, awesome music and great people made for a great time for everyone!

BPOS to Office 365 Transition

As a Microsoft BPOS customer, you have received a lot of communications about Office 365 at this point. You have probably also been notified about your transition date and schedule. If you not, you will shortly. These communications contain all the details about how to prepare for the transition.

In this newsletter we just want to highlight some of the changes you will encounter in the new Office 365 service coming your way. 

BPOS to O365 Plans:

Key Areas of Change

  1. Live Meeting will be replaced by Lync Online. 
    • After transition customers should replace the Live Meeting add-in for Outlook with the Lync Online add-in for Outlook
    • Live Meeting service will remain running for some time after Office 365 general availability to give customers time to move their recurring Live Meeting conferences to the Lync Online service
  2. The Admin Portal, Customer Portal and My Company Portal will be replaced by the new and improved Microsoft Online Portal.
  3. The Outlook Web App and the portal URLs (Admin, Customer, My Company) will change
  4. The Sign In application will no longer be needed and there will be a new, one-time setup package called the Online Desktop Setup that is used for initial configuration and updating of end user computers
  5. Rich coexistence describes the ability to share free/busy availability information between users with on-premises mailboxes (on Exchange Server) and users with online mailboxes (in Exchange Online).  It requires at least one Exchange 2010 Server CAS server role deployed on-premises.

 

Office 365 will have new system requirements around client software.  The 3 key new requirements are as follows:

  1. Office 2003 is not supported. Office 365 will refuse connections to Outlook 2003 (except as an SMTP client). Other Office 2003 programs may work in some circumstances, but Microsoft will not support this configuration.  
  2. Internet Explorer 6 is not supported. Office 365 will not refuse connections to IE6, but the experience will not be user friendly. For example, SharePoint 2010 could require users to log in each time they click on a link. None of the rich UI of Outlook will be function correctly—users will be relegated to OWA Light, which is a stripped down version of OWA.
  3. Office Communicator 2007 R2 will no longer be supported, but the move to Lync should be a much smoother experience.

 

Single Sign-on (SSO)

  1. The BPOS Sign-In Application will no longer be needed and there will be a new, one-time setup package called the Online Desktop Setup that is used for initial configuration and updating of end user computers.
  2. Federated identity is optional and will enable single sign-on (SSO) but it does require deploying one or more ADFS 2.0 server roles on premises.

 

Passwords

Office 365 has updated strong-password requirements. When users reset their passwords via the normal password expiration process, new passwords must contain a minimum of 8, and a maximum of 16, characters. Users must reset their passwords before transition. You can force this with the password expiration policy.

Getting Started with Microsoft Office 365 for Education

With some early adopters already implementing Exchange Online, the email component of Office 365 for Education, and other components, SharePoint Online and Lync Online, expected in 2012, the time for education institutions to begin preparing for the move to Office 365 is now.  Here are some questions and answers about moving to Office 365 that will help clarify the process.

What is Office 365?

Microsoft Office 365 is a cloud service that provides users with powerful collaboration and communication tools such as Exchange Online, SharePoint Online and Lync Online as well as the familiar Microsoft Office desktop suite.  These tools give students and faculty the ability to access and share their data from virtually anywhere at any time.     

What if I would like to deploy now, instead of in 2012?

Institutions that are interested in Office 365 for Education and want to begin the transition prior to the official launch are encouraged by Microsoft to enroll in Live@edu.  While not all of the services are in place, Exchange 2010 email is available so users can begin experiencing many of the benefits today.  Since Live@edu is currently hosted in Microsoft datacenters, transitioning to Office 365 for Education will occur automatically when it becomes available.

Is there a trial version available?

Education customers can also try Office 365 today using the trial available for enterprise customers.  Plan E3 provides an experience that is very similar to what will be available for Office 365 for Education.  Note, the trial should be treated as a “throw-away” test since there is no way to transition the trial to Office 365 for Education.
